M1 Critical Term Register

AI can only be as consistent as its definitions.

Form Workbook

What it's for

When one name covers three meanings, an AI tool picks one silently and presents it as fact. Often none of the meanings is wrong: they are legitimate measures that answer different questions. This register gives each critical term its own identity (an ID and a short code), one governed meaning, and a context of use that says when to use it and when not to. Related terms sit in a family with one owner.

The AI context text column writes each AI-ready term as plain text for the AI context pack (M4), including when to use it, so AI tools can choose the right term for the question and say which they used.

What you get

  • Register One row per critical term: identity, meaning, context of use, ownership, data links and AI readiness.
  • Summary Measures for your governance report, worked out from the register.

How it connects

Each term points to its source of record in S2 and the S1 use cases that use it. Conflicts are settled in M3 and terms certified through M2; terms that are Ready for AI feed M4's context pack.

Claude

Your register already has 3 terms. Tell me about another term, or give me a term's ID to update it.

Practitioner

I'd like to add physical occupancy to the Occupancy family, alongside leased occupancy and economic occupancy.

Definition: the share of lettable floor area that tenants physically occupy at the reporting date.

Calculation: occupied lettable area divided by total lettable area, both in square feet. It's expressed as a percentage.

Claude

This will be T-004. The register already has Leased occupancy (T-001) and Economic occupancy (T-002), both certified and ready for AI, plus the old "Occupancy" term (T-003), which is deprecated and points people to the right term. I've noted your definition, the calculation and % as the unit.

Next, the context of use, which is what lets an AI tool pick between the three occupancy measures:

  1. Code: shall I use OCC_PHYS? That's my suggestion, following M1's own example.
  2. Use when / not for: what business questions does physical occupancy answer (for example space in use today), and what shouldn't it be used for?
  3. Synonyms and confusions: what other names or labels do people use for it? Is it not to be confused with Leased occupancy and Economic occupancy?

Practitioner

Yes, OCC_PHYS is right.

Use when: questions about how much space is actually in use today, such as operations, footfall, energy and service charge.
Not for: investor reporting or income forecasts.

Synonyms and confusions: on the asset dashboard it's simply labelled "Occupancy". And yes, it's not to be confused with leased occupancy or economic occupancy.

Claude

Got it. Note that the asset dashboard's "Occupancy" label is the same name the investor report uses for leased occupancy. That's one name covering two meanings, so I'll note it for the M3 conflict log.

Now ownership and status:

  1. Parameters: T-001 takes "As-at date; fund or property". Does physical occupancy take the same?
  2. Domain, owner and steward: which part of the business is it from? I'd suggest Asset management, but that's only my suggestion. The Occupancy family's owner is recorded as Head of Asset Management, and T-001's steward is the Reporting Steward. Are they the same for this term?
  3. Status: has the owner already approved this definition through the certification workflow (M2)? If so, give me the version and the date. If not, it stays Draft, version 1.0.

Practitioner

On the investor report point, I don't know what label it uses, so I can't confirm that. Please check before logging it for M3.

Parameters: yes, the same. Users can vary the as-at date, and the fund or property.

Domain: asset management is right.

Owner: Head of Asset Management, same as the rest of the Occupancy family.

Steward: not the Reporting Steward. For this one it's the Portfolio Data Steward.

Status: yes, the Head of Asset Management approved it through the certification workflow on 15 April 2026. So it's certified, version 1.0, certified 15 April 2026.

Claude

I checked. The register's saved record for Leased occupancy (T-001) lists "'Occupancy' in the quarterly investor report" as a synonym. So the register shows "Occupancy" covering two meanings, one on the dashboard and one in the investor report. I'll note it for the M3 conversation, flagged as taken from T-001's record. The Reporting Steward, as T-001's steward, could confirm it; that's my suggestion. It doesn't stop us saving this term.

I've noted the parameters, Asset management, the owner, the Portfolio Data Steward, and Certified, version 1.0, certified 2026-04-15.

Last, the link to data and the review:

  1. Implemented in and source: which table, column or metric implements it, and which S2 source is it read from?
  2. AI use cases and caveat: which S1 use cases use it, and what sentence must an AI tool say when it quotes it?
  3. Review: how often should it be reviewed, in months, and when was it last reviewed?

Practitioner

That's fine. Flag it as taken from T-001's record.

Implemented in: SEMANTIC.PORTFOLIO_METRICS.PHYSICAL_OCCUPANCY. Source of record is S-004, the certified portfolio metrics.

AI use cases: EX-02, the portfolio analytics assistant.

Caveat: "This is physical occupancy; it excludes leases signed but not yet started."

Review: every 12 months, last reviewed 15 April 2026.

Claude

I've saved Physical occupancy (T-004). Here it is as saved:

  • Identity: OCC_PHYS, in the Occupancy family. Shown in %, calculated as occupied lettable area ÷ total lettable area, both in sq ft.
  • Use when: space actually in use today (operations, footfall, energy, service charge). Not for: investor reporting or income forecasts.
  • Other names: "'Occupancy' on the asset dashboard". Not the same as: Leased occupancy and Economic occupancy. Parameters: as-at date, and fund or property.
  • Ownership: Asset management. Owned by the Head of Asset Management (Occupancy family), with the Portfolio Data Steward as steward. Certified, version 1.0, on 2026-04-15.
  • Link to data: SEMANTIC.PORTFOLIO_METRICS.PHYSICAL_OCCUPANCY, read from S-004, and used by EX-02.
  • Review: every 12 months, last reviewed 2026-04-15. Next review 2027-04-15, In date. Linked to data? Yes.
  • Ready for AI? Yes
  • AI context text: "Physical occupancy (OCC_PHYS, certified term T-004, version 1.0, owner: Head of Asset Management (Occupancy family)). Definition: The share of lettable floor area that tenants physically occupy at the reporting date. Calculation: Occupied lettable area ÷ total lettable area, both in sq ft. Unit: %. Use when: Questions about how much space is actually in use today, such as operations, footfall, energy and service charge. Do not use for: Investor reporting or income forecasts. Not the same as: Leased occupancy; Economic occupancy. Source of record: S-004. When you use this term, say: This is physical occupancy; it excludes leases signed but not yet started."

The S1 and S2 checks raised no warnings.

Still to do: the notes record the "Occupancy" conflict for M3, marked as taken from T-001's record. One item is still open: someone needs to confirm the label the investor report uses for leased occupancy. I suggested the Reporting Steward.

Is this all correct? Then tell me if you'd like to add another term or finish.

Practitioner

Yes, that's all correct. Happy for the investor report label to stay as an open item for the Reporting Steward to confirm.

That's all for today, thanks.

Claude

I've checked the register again and it has no errors. You can download the M1 workbook with the button below the terms.

Added today: Physical occupancy (T-004, OCC_PHYS), certified and ready for AI.

M1's measures:

  • Terms registered: 3 (not counting deprecated ones), against a target of 20 to 50.
  • Certified: 3, and all 3 are ready for AI.
  • Linked to source data: 100%. Certified terms with a context of use: 100%.
  • Reviews overdue: 0. Deprecated terms kept as pointers: 1.

Not ready for AI: only the old "Occupancy" term (T-003), with the reason "No: not certified". That's expected, because it's deprecated and kept to send people to the right term. As a suggestion, you could check next time that its definition also points to Physical occupancy.

Still to do:

  • Before M3: the Reporting Steward confirms the label the investor report uses for leased occupancy (my suggestion, which you agreed). Then the "Occupancy" conflict can be logged in the M3 conversation.
  • S1, S2 and M2: nothing to hand on.

The register still needs 17 to 47 more critical terms to reach M1's target.
